Position Overview

The Family Services Coordinator plays a vital role in creating a welcoming, safe, and supportive environment for our guests. This position supports daily operations, guest interactions, and facility management to ensure a positive experience for families during their stay. This position is a full-time evening role, with hours from 3-11pm. 

Key Responsibilities

Foster a sense of community by remaining visible, accessible, and approachable to guests, ensuring requests are addressed promptly and empathetically.

Identify and report special family situations to the Family Services Manager, offering conflict de-escalation support as needed.

Perform detailed administrative tasks, including maintaining shift notes, updating rosters, data entry, and completing projects assigned by the Family Services Manager or other team members.

Serve as the primary point of contact for phone calls, visitors, and deliveries, ensuring a warm and professional welcome.

Assist with on-site vendor coordination as needed.

Manage visitor check-ins, providing clear and supportive guidance to guests and volunteers.

Receive and process in-kind donations with care and accuracy.

Retrieve daily mail and forward to appropriate staff members.

Handle interruptions with professionalism and prioritize tasks effectively.

Support occupancy management by preparing facilities, coordinating guest check-ins, conducting house orientations, and managing check-outs, including related recordkeeping.

Assist with food pantry inventory, monitoring supply levels, and coordinating replenishment as needed.

Assist with providing shuttles to families to and from treatment locations when volunteer drivers are unavailable.

Help maintain the family database, ensuring that all information is kept current and accurately recorded for reliable reporting

Volunteer Coordination

Delegate and coordinate tasks for family services volunteers under the guidance of the Mission Services Director. 

Ensure accurate scheduling of volunteers on the database, making sure the house calendars and database volunteer calendars match.

Ensure database shifts are added regularly to allow volunteers to record hours.

Maintain accurate volunteer profiles in the database and work with Volunteer Local software support to troubleshoot issues.

Support the meal program by delegating and coordinating meal group volunteers under the guidance of the Mission services director. 

Facilities Management

Maintain clean and comfortable common areas and workspaces by performing housekeeping tasks, such as cleaning, restocking supplies, managing trash and recycling, and assisting with laundry.

Track and organize incoming in-kind donations for efficient storage and use.

Assist with vendor coordination on site.

General Responsibilities 

Demonstrate thorough knowledge of RMHC West Michigan policies and procedures.

Attend and actively participate in staff meetings and training sessions.

Maintain positive, collaborative relationships with staff and volunteers to support a unified team effort.

Perform other duties as assigned to meet organizational needs.

Available in the evenings and on weekends, Holiday availability. Must attend all team trainings.

Strong organizational skills with proven ability to prioritize tasks and maintain attention to detail.

Reliable, punctual, and team-oriented, demonstrating a positive attitude in all interactions.

Calm and professional demeanor in high-pressure situations; adept at conflict resolution.

Exceptional decision-making, flexibility, and problem-solving abilities.

Outstanding verbal and written communication skills.

Self-motivated and able to work independently while maintaining accountability.

Requirements:

Clean driving record and ability to pass a background check.

High school diploma or GED.

Professional experience is preferred, ideally in household or hospitality management, environmental

services, residential programs, or human services.

Perform laundry tasks, including transferring, folding, and storing items.

Arrange meals and supplies on shelves, including in garage freezers.

Lift and move objects weighing up to 25 pounds.

Meet visual requirements, including close, distance, peripheral, and depth perception.
